Position Summary
We are seeking a highly organized and proactive Executive Administrative Assistant to support our Minneapolis office. The ideal candidate will be a detail-oriented professional who can handle a wide range of administrative tasks and work independently with little supervision.Job Responsibilities
The Executive Administrative Assistant will be responsible for the following:
Administrative Support to Executive Office (80%)
- Manage and maintain calendars, including scheduling meetings, appointments, and travel arrangements.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Coordinate and facilitate communication.
- Handle confidential information with discretion and maintain a high level of confidentiality.
- Organize and coordinate executive meetings, including preparing agendas, taking minutes, and following up on action items.
- Assist in the preparation of materials for meetings, presentations, and reports.
- Ensure individuals are well-prepared for meetings and events.
- Arrange complex and detailed travel plans, itineraries, and agendas.
- Compile documents for travel-related meetings and ensure timely submission of expense reports.
- Handle incoming and outgoing communications, including phone calls, emails, and mail.
- Conduct research and compile data for special projects and reports as needed.
- Perform general office duties, such as ordering supplies, managing office equipment, and maintaining office organization.
- Manage building-related support tasks for Mesabi's office suite, such has handling maintenance requests, security access, and deliveries.
- Proven experience as an Executive Assistant or similar role, preferably in a corporate environment.
- A candidate with a background in law would be preferred.
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Ability to multitask and prioritize tasks effectively.
- High level of discretion and professionalism in handling confidential information.
- Strong interpersonal skills and the ability to build relationships with stakeholders at all levels.
- Strong problem-solving skills and the ability to think proactively.
- Detail-oriented with a commitment to accuracy and quality.
- Ability to work independently and as part of a team.
- Flexibility and adaptability in a fast-paced environment.
Education
- 4 years degree / Bachelor’s degree in Business Administration, Management, or a related field preferred.
