Position Summary
We are seeking a highly organized and proactive Executive Administrative Assistant to support our CEO. The ideal candidate will be a detail-oriented professional who can handle a wide range of administrative tasks and work independently with little supervision. The Executive Administrative Assistant will be the primary point of contact for internal and external stakeholders on all matters pertaining to the CEO.
Key Responsibilities
- Executive Support:
- Manage and maintain the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Coordinate and facilitate communication between the CEO and internal/external stakeholders.
- Handle confidential information with discretion and maintain a high level of confidentiality.
- Meeting Coordination:
- Organize and coordinate executive meetings, including preparing agendas, taking minutes, and following up on action items.
- Assist in the preparation of materials for meetings, presentations, and reports.
- Ensure the CEO is well-prepared for meetings and events.
- Travel Management:
- Arrange complex and detailed travel plans, itineraries, and agendas.
- Compile documents for travel-related meetings and ensure timely submission of expense reports.
- Administrative Tasks:
- Perform general office duties, such as ordering supplies, managing office equipment, and maintaining office organization.
- Handle incoming and outgoing communications, including phone calls, emails, and mail.
- Conduct research and compile data for special projects and reports as needed.
- 4 years degree / Bachelor’s degree in Business Administration, Management, or a related field preferred.
- Proven experience as an Executive Assistant or similar role, preferably in a corporate environment.
- A candidate with a background in law would be preferred.
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Ability to multitask and prioritize tasks effectively.
- High level of discretion and professionalism in handling confidential information.
- Strong interpersonal skills and the ability to build relationships with stakeholders at all levels.
- Strong problem-solving skills and the ability to think proactively.
- Detail-oriented with a commitment to accuracy and quality.
- Ability to work independently and as part of a team.
- Flexibility and adaptability in a fast-paced environment.
- Base Salary: $ 70,000
- Winners Circle Incentive: A biweekly incentive calculated as a percentage of biweekly wages, paid in the same paycheck and tied to the production of safe, quality tonnes. Guaranteed at the 70% target level through September 30, 2026 (Construction Phase); calculated against achievable, hourly-measured production targets during the Ramp Up Phase (through March 31, 2027); and tied to biweekly production targets thereafter (Optimization Phase)

- Paid Time Off (PTO):
